Home / Bookkeeping / Monthly bookkeeping
Your books finished on a date you can count on, so the numbers are ready when you need them rather than three weeks late.
Monthly bookkeeping is the full close cycle run on a repeating schedule. Every bank and credit card transaction gets categorized against your chart of accounts, every account gets reconciled to the statement, and the period gets locked so the numbers stop moving after the fact.
The output is a finished set of books and a short set of statements. Most owners come to us because their books are technically being kept but never actually closed, which is why the profit figure changes every time they look at it.
Bank feeds, card feeds, and any manual entries reviewed line by line against your chart of accounts, not auto-accepted by rule.
Checking, savings, credit cards, loans, and merchant accounts tied out so the balance on the books matches the balance at the bank.
QuickBooks Payroll or Gusto runs recorded to the right accounts, owner draws and contributions kept out of the expense lines where they distort margin.
Profit and loss, balance sheet, and cash summary delivered with the period locked, plus a short note on anything unusual we saw.
Monthly is the default cadence for any business with regular activity, staff, or anyone outside the company reading the numbers.
Once payroll runs, the books need to keep pace with it. A monthly close catches coding errors while they are still one month old and cheap to fix.
A lender, a partner, a board, or an outside tax preparer. Anyone reviewing your financials needs a period that has actually been closed.
Hiring, pricing, taking on a lease. If the figure you are working from is a live guess, the decision is a guess too.
Bank and card feeds finish posting the prior month. You do nothing here except keep receipts flowing into the shared folder.
Every transaction reviewed and categorized, every account tied out. Anything ambiguous goes on a short question list rather than being guessed at.
You get a single consolidated list, usually five to ten items. Answering it takes most owners ten minutes.
The period is locked and your statements arrive by an agreed date each month, with a plain-language note on what moved.
Most of our monthly clients are in Cedar Park, TX and the surrounding towns, including Leander, TX, Round Rock, TX, Georgetown, TX, Pflugerville, TX, and Austin, TX. The work runs the same way for owners in San Diego County, since everything happens through secure document sharing and scheduled screen-share reviews rather than in person. Texas has no state income tax on business profit for most small entities, which means the monthly close is less about filing calendars and more about giving you a number you can run the business on.
On an agreed date, usually between the tenth and the fifteenth, depending on how fast your bank feeds settle and how quickly the question list comes back. The date is fixed at the start of the engagement and we hold it.
Not necessarily. QuickBooks Online is what we use most and what we support best as ProAdvisors, but we work with other platforms too. If a switch would genuinely help, we say so and explain why rather than making it a condition.
We bring them current first. Catch-up and cleanup work is a separate, defined piece of work, and monthly service starts from a clean opening balance once it is done.
No. We keep the books and prepare the statements. Filings are handled by an outside tax partner, and we hand them a clean, closed set of books so they are not billing you to fix bookkeeping.
Behind by months or years. This is the work that usually comes first.
