Home / Bookkeeping / QuickBooks Online setup and management
A file configured around how you earn and spend, then managed month to month by a QuickBooks ProAdvisor so it stays that way.
Most QuickBooks problems trace back to the first week. The chart of accounts came from a template, the bank feeds were connected without rules, and the opening balances were entered as a plug. Everything after that inherits the mistake.
Setup means building the file around your actual business model. Management means someone competent stays in it, so the categorization rules keep working and the file does not slowly turn into a mess again.
Enough detail to see what drives the business, few enough lines that the profit and loss stays readable. Not a two-hundred-account template.
Feeds linked and rules written so routine transactions land correctly, with anything genuinely new flagged for review rather than auto-posted.
QuickBooks Payroll or Gusto mapped to the right accounts, plus point-of-sale, invoicing, or ecommerce connections where you use them.
The starting position reconciled to real statements, so day one of the file is a fact rather than an assumption.
A new file and a rescued file need different first moves, and treating them the same is how the second mess starts.
A new entity, or a business that has been running on a bank account and a spreadsheet. This is the cheapest possible moment to get the structure right.
QuickBooks exists but nobody wants to open it. Sometimes the fix is a reconfiguration, sometimes it is a rebuild, and we tell you which after looking.
Setup is a week. Management is the part that keeps the file honest, and it is what most owners actually need.
How you invoice, how you get paid, what you buy, who you pay, and what you need to be able to see. The file follows the answers.
Chart of accounts, products and services, customers and vendors, sales tax settings where relevant, feeds and rules, users and permissions.
Balances reconciled to statements so the file starts from something real.
You get a short walkthrough of your own file. From there we either step back or keep running it monthly.
Tim and every partner at the firm are QuickBooks ProAdvisors, and QuickBooks Online is the platform we support most closely for clients in Cedar Park, TX, Round Rock, TX, Georgetown, TX, and across the Austin, TX metro. Because QuickBooks Online is browser-based, San Diego County clients work exactly the same way. If your business would genuinely be better served by a different platform, we will say so instead of defaulting to the tool we know best.
A straightforward new file is usually a week or two, most of which is waiting on bank connections and your answers. Converting from another system or an existing messy file takes longer and gets scoped separately.
Often, yes. A rebuild is a last resort. We look at the damage first, because reconfiguring and reclassifying is usually faster and preserves your history.
Only if you run payroll. If you do, QuickBooks Payroll and Gusto are both good options and the right one depends on your headcount and how you want to handle onboarding.
Always. The subscription is in your name, you hold the primary admin login, and you can see everything we do inside it.
When the file exists but the history inside it is wrong.
