Home / Bookkeeping / Catch-up and cleanup bookkeeping
Months behind, years behind, or never started. This is the work we do most, and it is almost never as bad as the owner expects.
Catch-up work rebuilds the periods that were never recorded. Cleanup work corrects the periods that were recorded badly. Most files need both, because the months that were entered were entered in a hurry and the months that were skipped were skipped for a reason.
The work is reconstructive. We go back to bank and card history, rebuild the activity month by month, correct what was coded wrong, and reconcile forward until the file agrees with reality. Then we hand you a current set of books and a decision about what happens next.
Before any work starts we open the file and the statements and tell you exactly how many months are missing, how many are wrong, and what it will take.
Transactions reconstructed from bank, card, loan, and merchant records, coded properly rather than dumped into a suspense account.
Duplicates removed, transfers stopped from double-counting as income and expense, personal spending separated from business, and the balance sheet proved out.
Each account tied to its most recent statement so the closing position is real, then the periods locked so the work holds.
Nobody plans to fall behind. It happens because something else was more urgent, and then it compounded.
A busy quarter turned into a year. The software still records things, but nothing has been checked against a statement in a long time.
The business ran on the bank balance. Now a lender, a partner, or a tax preparer needs actual financials and there is nothing to give them.
Balances that do not tie, an income figure nobody trusts, and a chart of accounts that grew to two hundred lines. This is very common and entirely fixable.
You show us what exists. We do not need it organized first. The initial review tells us the true size of the job.
You get the number of periods, the work involved, and the sequence in writing. No open-ended engagement that grows quietly.
We work forward chronologically so each period builds on a proved position rather than patching the newest month and hoping.
Once you are caught up we either hand the file back in good order or roll straight into a monthly or quarterly cycle so it never happens again.
Falling behind on the books is the single most frequent reason a business in Cedar Park, TX or the wider Austin, TX area gets in touch, and it is the work Tim does most often. The same engagement runs remotely for owners in San Diego, CA, Carlsbad, CA, and Escondido, CA. Nothing about a messy file is unusual to us, and there is no version of this conversation where you get a lecture about it.
No. Three years is a normal engagement. We have started from further back than that. The constraint is record availability, not how embarrassed you feel.
Please do not. Send it as it is. Sorting is part of the work, and owners who try to tidy first usually delay the start by months.
The scope is fixed before work begins, so you know the number in advance. If the job is large we can stage it, starting with the most recent complete year and working back.
You choose. Some clients take the clean file back and run it in house. Most move onto a monthly or quarterly cycle, which is far cheaper than another rescue in two years.
When the problem is inside the QuickBooks file itself rather than missing months.
